How to Set Up Google Calendar Integration in 3 Minutes

How to Set Up Google Calendar Integration
Connecting your Google Calendar to FillTheTimesheet takes less than 3 minutes. Here is exactly how to do it.
Prerequisites
Before you begin, make sure you have:
- A FillTheTimesheet account (sign up free)
- A Google account with Calendar access
- At least one recurring event on your calendar
Step 1: Navigate to Sources
Click Sources in the top navigation bar. You will see a list of available calendar integrations.
Step 2: Connect Google Calendar
Click the Google Calendar card and authorize access. We request read-only permissions — we never modify your calendar.
What Permissions Do We Need?
| Permission | Why |
|---|---|
| View calendar events | To read your events for timesheet mapping |
| View calendar list | To let you choose which calendars to sync |
We follow the principle of least privilege. We only request what we absolutely need.
Step 3: Select Calendars
After authorization, you will see all your calendars listed. Toggle on the ones you want to track:
- Work calendar — primary events
- Project calendars — if you use separate calendars per project
- Shared calendars — for team meetings
Step 4: Create Mapping Rules
Navigate to Preview & Export to see your events. Use the rule builder to define how events map to timesheet entries:
Event contains "standup" → Project: INTERNAL, Task: Daily Sync
Event contains "client" → Project: CLIENT-A, Task: Meeting
Default → Project: GENERAL, Task: Work
Step 5: Export Your First Timesheet
Click Export and choose your format. Your timesheet is ready!
Troubleshooting
Events not showing up?
- Make sure you selected the correct calendar in Step 3
- Check that your events are not marked as "Free" (we skip free slots by default)
- Allow up to 60 seconds for the initial sync
Wrong timezone?
We auto-detect your timezone from your browser. You can override it in Settings > Preferences.
